Subcommittees

Development & Prizes

The Deveopment and Prizes subcommittee is responsible for identifying and obtaining campus and external sources for donations. Obtaining prizes for the employee raffle is the main priority for this subcommittee. Donors include campus departments, University vendors, local businesses and outside sponsors. This subcommittee coordinates the drawing of names, notifies the winners, distributes the prizes, and sends thank you letters to donors to acknowledge their donation. An accurate set of records is also required to serve as a resource for the following year's event.

Volunteers

The success of the event is depended a great deal on volunteers. The Volunteer subcommittee is responsible for coordination of the volunteer database and assignment of staff to help on the day of the event. Each subcommittee provides the Volunteers Subcommittee with the number of people they will need at each venue. The Volunteers Subcommittee assigns help where volunteers will be needed the most. Volunteers receive a commemorative T-shirt as a gesture of appreciation.

Entertainment

The Entertainment subcommittee is responsible for coordinating all entertainment needs for the event. Subcommittee members should gather all information including CD's, tapes, flyers, and descriptions of bands and games for the committee to review for a final decision. Subcommittee members work directly with entertainers or the service providers to ensure that their needs on the day of the event are met.

Logistics

The Logistics subcommittee is responsible for coordinating all physical and operational needs for the event. This coordination begins with notifying all departments and offices around the event site of the date and time of Cal Staff Summerfest. Responsibilities also include ordering tables, chairs, staging, electrical hook-ups, arranging for all signage needs, etc. On the day of the event, subcommittee members coordinate the delivery, set-up and removal of all equipment. After the event, the site must be returned to its original condition, which includes the removal of all trash. Committee members and volunteers also assist with site clean up.

Publicity

The Publicity subcommittee coordinates all publicity and T-shirt design for the event. This includes printed flyers, online and printed newspaper articles, web site notices, and designing the Cal Staff Summerfest T-shirt logo. All publicity must be reviewed by the Vice Chancellor for Business Services Office prior to distribution. Subcommittee members also work closely with UC Printing Services and Mailing Services who provide printing and mailing services as in-kind donation for the event.

Staff Organizations

There are a number of organizations that provide valuable services to UC Berkeley employees. These groups are invited to the event to distribute information and to answer questions from staff. The Staff Organizations subcommittee is responsible for coordinating all aspects of the Organizations area, which includes recruiting participants, ordering tables and chairs through the Logistics subcommittee, as well as setup needs.

Crafts, Hobbies, and Collections:

UC Berkeley staff members, who practice a craft, have a hobby, or collect things are invited to display their pride and joy at this year's event. To qualify as a craft the items must be made or designed by the employee. Products purchased by employees do not qualify as a craft. Participants are not permitted to sell their items at the event. However, staff can distribute business cards or flyers and take orders at the event. All participants who wish to display a hobby or a collection will need to give a brief written explanation to the subcommittee about their entry.

Food

The Housing and Dining Services representative is a member of the Cal Staff Summerfest Committee and coordinates all food requirements for the event.

Security

The UC Police representative is a member of the Cal Staff Summerfest Committee and is responsible for working with UC Police to coordinate security for the event. This includes arranging for road closures, staffing of Community Services Officers (CSO's) at access points, and coordination of parking permit requests for vendors and entertainers.

Parking & Transportation

Bear Transit Shuttles and parking questions will be coordinated by the Chair.

Budget

The Budget representative is a member of the Cal Staff Summerfest Committee and is responsible for the payment of all invoices and for responding to budget question from the committee and from outside vendors.
